Unified Messaging Service


UIT-Telecommunications is pleased to announce that at 6pm on May 2nd, 2019, we will be upgrading our current Callpilot voicemail system to a new unified messaging platform. This upgrade will elevate our IT infrastructure by adding enhanced security and features to our voicemail system.

What is it?

The University is upgrading the current Callpilot voicemail system to a new XMedius XM Connect Unified Messaging platform. This is an industry-leading service that integrates university voicemail with cloud technology, making voicemail accessible via web and mobile applications.

What does the service provide?

The unified messaging service will:

  • Maintain the Telephone User Interface (TUI) currently in place
  • Notify users of new voicemails via email. This email will include a transcription of the message using new text-to-speech capabilities and an attached .wav file of the voice message
  • Provide a web interface that allows users to view messages, modify mailbox settings, record greetings, and set notification settings
  • Send notifications to an external phone number
  • Include a mobile application for iOS and Android

What does the service change?

  • Your mailbox number will not change; however, it is a new system and your current settings will not be transferred over. You will have to set up your new mailbox. Follow these instructions to set up your new voicemail.
  • Access numbers from your desk phone and from outside of the office will remain as 55111 and (416)736-5111

Why are we changing services?

The University’s current voicemail system will no longer be supported, making it necessary to upgrade. Upgrading to a new Unified Messaging platform will also give the community new and enhanced tools to communicate seamlessly with more flexible mobile options.

When do I get it?

The implementation of the new unified messaging platform will begin at 6:00pm on Thursday, May 2, 2019, and should last about an hour. You will have access to the new system at the start of business on Friday, May 3, 2019.

What do I have to do?

You will be expected to set up your new voicemail service, prior to the installation of the new system on May 2ndFollow these instructions to set up your new voicemail.

Do I have to be present during installation?

No, you do not have to be at work during the installation. You may set up your new voicemail using these instructions from anywhere you have access to a telephone line.

Saving your existing messages

Setting up Immediate Notifications (out calling to mobile)

Immediate Notification is a feature that allows you to receive notifications of voicemail activity on up to 9 operate mobile phones. To set up immediate notifications, follow these instructions.

How do I access the new voicemail system?

Will my current password work on the new voicemail system?

No. You will be given a temporary password to use to complete your initial mailbox setup. During that setup, you will be prompted to set a new password.

Can I reuse my current password?

You may use any password with a minimum of 6-digits.

Will my current greeting be transferred to the new voicemail system?

No. You will need to set up a new greeting as part of the voicemail setup. Click here for instructions.

Will my current messages be transferred to the new voicemail system?

No. However, you will be able to download your saved messages to your computer or an external device. Click here for instructions

Will my current saved messages be deleted?

No. Your messages will remain on the current voicemail system until that system becomes inaccessible. At any time you may download your saved messages to your computer or an external device. Click here for instructions on how to save your current messages.

Can I still use the My CallPilot Online Voicemail Access?

No. This functionality will be replaced by the superior web-interface of the new voicemail system. Click here for Click here for instructions to access the new interface.

Will I have to get a new phone?

No. You will continue to use either the Polycom VVX500 VoIP or VVX101 VoIP phone (pictured below).

 

What if I have an old phone (Nortel M2008)?

If are still using an old phone (Nortel M2008 pictured below), please call Telecommunications at extension 44357 to discuss an upgrade.

What if I am part of a call centre group (ACD member) and still using an old phone?

You will remain on the current voicemail system until the ACD phones are upgraded. Your mailbox access will change slightly. Click here for instructions on how to access your voicemail.

What if I’m not getting email notifications for my voicemail messages on the new system?

My message-waiting light is on; however, there are no new messages in my voicemail. What should I do?

This could indicate that there is an unread message in the CallPilot (old) voicemail system. To check them:

  1. Dial 55100
  2. Enter your extension and press #
  3. Enter your password and press #

You will be in your old mailbox.
