Work in Progress - How to deal with SPAM

  1. How to block spam mail from specific senders?
    • Notes Client - More —> Deliver Sender’s mail to junk
    • Notes Web - More —> Block Mail from Sender
    • Central Mail - Click on the Spam button in the button bar
  2. What to do when you receive Spam email?
    • Spam email should be placed in your Yspam-learn folder and will be used to train the spam filters
    • Putting it in this folder will assist UIT in updating and training the filter
    • This does not guarantee that you may not receive spam from the same source in the future, as the level of training is complex and depending on how the spam message is created, it may not be easy to filter out in the future
  3. How do I try to prevent similar spam that keeps showing up in our mailbox even if you put it into the Yspam-learn folder?
    • These may be instances that are unique to you and may not be blocked by our filters
    • You can create a filter within your mail client to filter out these messages
    • You can contact Client Services if you require help on creating a filter
  4. How do I check to see if I have email that is listed as SPAM but may be legitimate?
    • Central Mail check your Yspam-found folder
    • Notes check your Junk folder
    • If you find messages that are not really Spam you should move them to the Yspam-unlearn folder which will be used to update the spam filter
    • This does not guarantee that subsequent emails from the same source may not still end up in the spam folder in the future, as the level of training is complex and depending on the content of new messages it may still end up in the spam folder
  5. What is phishing?
    • Examples of current phishing messages are available on Infosec Website.
    • Email requests asking you to go to a site or email personal information such as userids, passwords, etc.
    • UIT never sends emails asking for passwords and you should never disclose your password to anyone
  6. What to do when you receive phishing attacks attempting to phish?
    • If the phising email is asking for York account information such as your York email Password, Passport York password etc then forward the email to askit@yorku.ca .
    • Include (cut and paste the email headers) into the forwarded email body
    • Notes Client - View —> Show --> Page Source and copy and paste the information
    • Notes Web - More —> Show Mime Full and copy and paste the information
    • Central Mail - Click on the email, select “Show Full Headers” and copy the header information into the forwarded email body
  7. Why can’t we block all spam?
    • Spammers use very creative methods to get around spam filters and modify the content of their emails to make them look legitimate.
    • If we increase the level of spam filter and make it even tighter the opposite results can occur and more legitimate email can be flagged as spam causing legitimate email to be lost.
